General Job Function:

The Special Events Fundraising Coordinator is responsible for formulating, leading and implementing strategies to grow Families of SMA revenues through special events in the West Coast Region of the United States. The position manages all aspects of special fundraising events with volunteer event organizers, including Chapter and volunteer management. This position is located in Elk Grove Village, the national office for Families of SMA, and includes frequent travel on weekends during high event season.  The position requires 3-5 years of experience in special event fundraising with a track record of generating revenues ranging from $250,000-$1m+/year.  Please do not apply if you have fewer than 3 years of relevant experience or have not generated revenues of this magnitude.

Principal Job Duties and Responsibilities:

  • Meet the revenue, implementation and recruitment goals for each fundraising event in the defined timeframe to generate participant, sponsorship, volunteer and in-kind growth.
  • Plan, guide, coordinate, and implement signature events, galas, and other special events in collaboration with volunteer Chapter officer members and volunteer committee members.
  • Work with Chapter families, FSMA staff and community leaders to identify, solicit, recruit and develop volunteers including event chairs and committee members. 

  • Present and train Chapter leadership and event coordinators on Best Practices regarding: 

    • Volunteer recruitment

    • Sponsorship identification and recruitment

    • Event marketing, media relations and overall execution

    • Budget planning
    • Chapter meeting execution
    • FSMA policies and procedures
  • Effectively delegate and accomplish goals through the recruitment and development of volunteers.
    • Ensure that clearly defined volunteer positions and responsibilities are utilized for each of the events and for assigned committees. 
    • Regularly communicate appropriate plans, activities and benchmarks with volunteers.
  • Build successful relationships with families, sponsors, event participants, corporations and volunteers for the purposes of promoting FSMA and facilitating other opportunities for partnership. 
 
  • Steward and cultivate relationships with existing donors and key Chapter members.
  • Promote accurate, consistent and up-to-date event information throughout all communication channels.
    • Serve as FSMA liaison to Family Support Department

    • Refer all newly diagnosed families and their questions, comments and concerns to Family Support Department at National Office.
    • Share up to date research information, announcements and updates to Chapters within assigned territory as necessary.
  • Coordinate necessary print, mailing and distribution activities for assigned events. 

  • Maintain accurate records and data for all events and share with Chapters and Development Team as necessary or when requested. 
  • Properly process all Chapter, participant and donor acknowledgements and sponsor recognition; contracts, insurance requests, accounts payable and receivable as related to fundraising event.
  • Establish new Chapter(s) by linking families together throughout geography, providing tools and resources, recruiting Chapter leadership and implementing strategic plan.
  • Ensure effective use of FSMA resources.
  • Actively participate in required education programs and meetings.
  • Perform other duties as assigned.

Mandatory Job Qualifications

Minimum Education: Bachelor’s Degree from accredited college or university; Non-Profit Management degree and/or Fundraising coursework preferred.

Job Experience: Three to five years of non-profit event planning and volunteer management experience and a solid track record of generating special event revenues ranging from $250,000-$1m+/year

Desired Qualifications

Preferred Experience and Skills
:

  • Solid knowledge of non-profit industry

  • Solid experience in special events fundraising (galas or athletic events preferred)
  • Basic knowledge of budget formation and tracking

  • Volunteer management
  • Non-profit volunteer experience

  • Working knowledge of non-profit database software (PledgeMaker, Raiser’s Edge, Team Approach, etc.)

Demonstrated Competencies:


  • Project management
  • Able to manage multiple projects with overlapping deadlines

  • Strong attention to detail

  • High degree of organization
  • Excellent written and verbal communication skills

  • Proven teamwork abilities
  • Excellent working knowledge of MS Office required

Work Environment
:

  • Involves travel by plane, train and car

  • Frequent overnight, evening and weekend work

     

Physical Requirements:

  • Required to lift boxes up to 40 pounds

  • Able to stand and sit for long periods of time
