TITLE OF IMMEDIATE SUPERVISOR: Director of Institutional Advancement

SCHEDULE:

Monday through Friday, 8:30 a. m. - 5:00 p. m. Some evening and weekend hours for events and meetings are required.

SUMMARY:

Reporting to the Director of Institutional Advancement, the Development Associate is responsible for maintaining the donor database, and for providing other administrative and clerical support to ensure the smooth operation of the department.

KEY RESPONSIBILITIES & DUTIES:

Maintains Raiser’s Edge, performing a variety of duties with a high level of competency and efficiency. Duties include: accurate data-entry of gifts and constituent data; creating and updating constituent records; constituent and gift code data-entry and code clean-up; generating a variety of accurate donor, financial, event, and other reports; and generating accurate donor honor rolls for the annual report and other publications.

Responsible for proofreading all Raiser Edge reports/queries and documents, and ensuring their accuracy prior to distribution or publishing.

Creates, organizes, and maintains donor and administrative paper filing system.

Performs general department clerical and administrative tasks.

Performs clerical and administrative duties related to the planning and execution of the Annual Dinner and other donor events and meetings as assigned.

Provides on-site support during the Annual Dinner, and at other donor-related events and meetings.

Proofreads donor-related and other written copy for accuracy in grammar, punctuation, spelling and content, and makes necessary corrections.

Consistently achieves a high degree of accuracy and quality in all work products, with a focus on quality control and continuous improvement.

Consistently exercises honesty and integrity in all business dealings and interactions with donors, patients, vendors, and staff in accordance with organizational practices and policies.

Maintains a professional, respectful, positive demeanor and attitude at all times with donors, patients, vendors, and staff.

Performs other duties as assigned by the Director of Institutional Advancement.

Mandatory Job Qualifications

 

MINIMUM REQUIREMENTS:

Two years of college required. Bachelor’s degree preferred.

Three years administrative experience in an office setting.

Demonstrated proficiency with relational databases. Raiser’s Edge experience highly preferred.

High level of competency in all Microsoft Office programs.

Excellent typing and data-entry skills (minimum 65 WPM preferred). 98% accuracy required.

Ability to efficiently and effectively organize information and materials.

Ability to multi-task and to meet established deadlines.

Excellent proofreading skills, and proficiency in spelling, punctuation, and grammar.

Ability to produce clear, concise, error-free business correspondence and documents.

Strong verbal communication skills.

Ability to accurately follow written and verbal instructions.

Integrity.

Ability to maintain the confidentiality of patient, donor, and business information in accordance with organizational practices and policies.

Professional demeanor and a positive, cooperative, and respectful attitude.

Ability to work independently as well as in a collaborative environment.

Flexibility, dependability, and excellent attendance.

The ability to lift up to 25 pounds.
